CWYW 9: I've made changes to the references in my database, but those changes aren't reflected in my document. How can I correct this?

Answer: First, try to format the bibliography in the document, by doing the following:

In Word 2007, go to the Add-Ins tab and choose the "Reference Manager > Generate Bibliography" command.

In Word 2000/XP/2003 and go to the Tools menu and choose "Reference Manager > Generate Bibliography."

Next click the "OK" button. This may resolve the problem.

Each formatted citation in your Word document contains hidden field codes that have all the information about that reference. This embedded reference information is also known as a "Traveling Library." If you don't have your database open in Reference Manager, or if someone gave you only the Word document without the library, then the Reference Manager program will use the Traveling Library to format the references.

To have Reference Manager pick up the changes you've made to the references, you'll want to first make a backup of your document. Then, in the document, do the following:

In Word 2007, go to the Addins tab and choose the Reference Manager > Revert to Original Text" command.

In Word 2000/XP/2003 go to the Tools Menu and select "Reference Manager > Revert to Original Text" command.

This should revert all the citations into the temporary citation format and remove the reference list from the end of the document. Now do the following:

In Word 2007, go to the Addins tab and choose the Reference Manager > Generate Bibliography" command.

In Word 2000/XP/2003 and go to the Tools menu and choose "Reference Manager > Generate Bibliography."

(or "Scan Document" and then "Generate Bibliography" in Reference Manager 9.5) to format the document, Reference Manager will pick up the reference information from your open database or databases, and the changes will be picked up.

Please note that you may get the "Reference Manager Select Matching Reference" dialog box when formatting the bibliography. This may be because you have modified the author name or the year in one of the references. Please click here for information on how to resolve this.
